Axia HR, on behalf of its client (a leading steel manufacturer and supplier in East Africa), is seeking a hands-on Company Secretary (Administrative & Corporate Support) to provide high-level administrative and secretarial support to senior management. The role ensures accurate and timely statutory, regulatory, and internal filings, effective coordination with internal and external stakeholders, and well-maintained corporate records. This office-based position requires exceptional discretion, organization, and attention to detail.

Duties & Responsibilities
- Provide administrative and secretarial support to senior management.
- Manage senior management calendars and schedules.
- Coordinate meetings, agendas, and related documents.
- Record, circulate, and follow up on meeting minutes and actions.
- Handle calls, emails, visitors, and front-desk support when required.
- Maintain organised physical and electronic company records.
- Ensure documents are properly filed, indexed, and retrievable.
- Maintain databases for contacts, licences, and permits.
- Support statutory, regulatory, and internal filings.
- Track compliance deadlines and renewal schedules.
- Draft and format official correspondence and templates.
- Organise meetings, equipment, and logistics.
- Coordinate office supplies, mail, couriers, and travel.
- Maintain confidentiality and professional conduct.
- Support onboarding, procedures, and other assigned duties.
Skills & Requirements
- Diploma or Degree in Secretarial Studies, Business Administration, Office Management, Records Management, or a related field.
- 3-5 years of experience in a busy administrative or secretarial role, supporting senior or multiple managers.
- Experience with company documentation and basic statutory or regulatory filings in Tanzania is an added advantage.
- Strong computer proficiency in MS Word, Excel, PowerPoint, and email/calendar applications.
- Excellent organization and time management skills.
- High attention to detail in documentation, filing, and record-keeping.
- Strong written and verbal communication skills in English and Kiswahili.
- High integrity, discretion, and respect for confidentiality.
- Proactive, reliable, and able to work with minimal supervision.
